Abstract Submission Information


Language

All abstracts must be submitted in English using the online submission form on the IFHIMA 2019 Congress website.

NOTE: Abstracts submitted by email, fax or post will NOT be accepted. The Congress organizers will not accept responsibility for any abstracts that have not been properly submitted according to the instructions.

Correspondence

Corresponding authors must provide the organizers with their full mailing address, office hours phone number, fax number (optional) and email address.

Author and co-author information must be provided including the first and last names of all authors, their department, institution / hospital, city, state if applicable and country.

All abstracts will be reviewed by the Scientific Committee. The Scientific Committee reserves the right to determine whether a submission is accepted as a free paper or a poster and its decision is final. The Scientific Committee reserves the right to edit abstracts for grammar and clarity. The Abstract may be scheduled for presentation on any day from 17-21 November 2019.

Structure

  • The title must be brief, concise, and in CAPITAL LETTERS.
  • Abstract title limit: 15 words.
  • Authors: Please enter your name and your colleagues’ names as you wish them to appear in the Final Program.
  • The Abstract text should have a maximum of 500 words only.
  • The Scientific Committee reserves the rights to redact any submission.
  • You are permitted a maximum of 3 keywords per Abstract. If more than 3 words are entered, only the first 3 will be recognized.
  • A maximum of 2 tables can be submitted and each table should only have a maximum of 5 columns and 10 rows. All figures/ tables/ graphs included in the abstract must be submitted in JPG/ BMP / GIF format with a maximum width of 9cm, and resolution up to 150 dpi. Only TWO figures/ tables/ graphs are allowed for each abstract.
  • A maximum of 2 figures can be submitted and should be in jpg/ bmp / gif formats with a maximum of 350 pixels and 200 KB
  • Please note that these figures/ tables/ graphs may be resized to fit the final printed material.
  • Do not include references in the abstract.
  • Do not include keywords in the abstract.
  • Abbreviations should be spelled out, in parenthesis, in its first use in the abstract.

Poster Format

Display boards for poster exhibition will be provided on-site. The usable surface for one poster panel is 2,223mm (Height) X 970mm (Width). Please prepare your poster in PORTRAIT layout to fit within the usable surface of the panel. You are required to develop, print, and bring along the poster to the venue for mounting onto the poster board. For legibility, a minimum font size of 28 points and a maximum of 600 words on each poster are recommended. Double-sided tape will be provided to mount your poster.

Evaluation Process and Acceptance Letters

All submitted abstracts will be scored by members of the Scientific Committee following which the draft program will be drawn up. While scientific merit is the most important factor in evaluating an abstract, the program will also take into account other factors such as the topic, geographic representation etc.

Acceptance letters will be sent by 21st June, 2019 via e-mail. Relevant information about your abstract's presentation including the presentation date, time, venue, presentation number will be included in the acceptance letters.

The presenting author of the abstract must be registered for the congress at the latest by Thursday, 8th August 2019.

Abstracts submitted by presenting authors who do not register for the congress and do not complete the payment by this deadline will be removed from the final program and will not be published in the Congress Abstract E-Book.

Accepted abstracts will be published in the Congress Abstract E-Book as they are submitted in the abstract submission system. Since there will be no editing process on the abstracts, the authors are required to avoid any typing errors, misordering of the authors, wrong spelling/writing about the institutions, etc.
